Proposal Submission Platform -Frequently Asked Questions 

What is BioMADE’s Proposal Submission Platform? 

The Proposal Submission Platform is the new and improved way to submit your proposal for a funding opportunity to BioMADE. BioMADE Member Portal users can conveniently access available funding opportunities, key information about project calls, as well as provide a streamlined and easy submission process. Additionally, BioMADE members that have funded and active projects with BioMADE will be able to manage their projects more efficiently with any easy platform to update their project timeline, edit key project contacts, and upload reports and other project-related materials and more! 

How do I request a BioMADE Member Portal account? 

Active BioMADE Member Portal Users - 

To access the Proposal Submission Platform, you do not need a separate account and will be able to log in using your existing Member Portal account. No action needed! 

New BioMADE Member Portal Users – 

If you do not have a Member Portal account or are unsure of your account status, reach out to memberportal@biomade.org, and a BioMADE team member will assist you with creating an account.  

How can I access the Proposal Submission Platform? 

The Proposal Submission Platform is available to BioMADE members via the BioMADE Member Portal. Once logged into the Member Portal, a user can navigate to the “Project Calls” tab on the Home Page and select “Active Project Calls.” Here, a Member can access funding opportunities available through BioMADE. 

If you don’t see content in the “Active Project Calls” tab, that means there aren’t any at that time. For inquiries about upcoming funding opportunities, reach out to proposals@biomade.org.  

What is an application? 

An application is synonymous with white paper, full proposal, or submission. The benefit to leveraging this new platform is the ability for BioMADE Members to track the entire lifecycle of their application from the submission of a white paper to full proposal submission, through project management and close out (if applicable), all in one easy place. 

Who is responsible for submitting the application? 

The Principal Investigator (PI) from the lead BioMADE Member organization is required to submit the application on behalf of the proposing team. If there are materials from a member organization that are considered proprietary and/or confidential, such as budget information, the member should reach out to proposals@biomade.org to facilitate the submission of such materials directly to BioMADE. 

Can an individual from my organization submit on my behalf? 

The Proposal Submission Platform does not currently support this functionality. A submission must be completed by the Principal Investigator (PI) from the lead BioMADE Member organization, as it will tie directly to their Member Portal account. 

Is it required to submit my proposal via the Proposal Submission Platform? 

Yes, it is required that all proposals be submitted through the Proposal Submission Platform. You can access it via the Member Portal. If you are experiencing any issues with accessing the Proposal Submission Platform and/or are unable to complete and submit your application, please reach out to proposals@biomade.org immediately.  

I’m having issues navigating and/or completing my application. What do I do? 

If you are experiencing any issues with accessing the Proposal Submission Platform via the Member Portal and/or are unable to complete and submit your application, please reach out to proposals@biomade.org immediately. Please be aware that late submissions to a funding opportunity will not be considered.  

If I start an application, can I come back to it later? 

Yes, the Proposal Submission Platform allows users to save and return to your application, giving submitters the ability to edit information and update attachments. The user must click “Save and Continue” to save their progress. To access an application that has not been submitted, navigate to the “Project Calls” tab and click on “My Applications.” This will take the user to all of their applications, both submitted and not submitted.  

How do I know my application has been successfully submitted? 

When an application has been submitted by clicking the “Submit”, a pop-up window will appear confirming the submission. If at anytime a user would like to confirm submission, they can follow the instructions below on tracking application progress or reach out to proposals@biomade.org.  

How can I track the progress of my application? 

To track the progress of your application, navigate to the “Project Calls” tab and click on “My Applications.” This will take the user to all of their applications, both submitted and not submitted. This is where members can stay up to date with the status of their proposal. Reach out to proposals@biomade.org for questions about the status of an application.  

What are the eligibility requirements to participate in a BioMADE project call? 

The proposal eligibility requirements may vary for different funding opportunities. General eligibility requirements for a BioMADE Institute Project Call are detailed below. Please refer to the Project Call document for the most accurate and relevant requirements. Contact BioMADE staff at proposals@biomade.org with questions. Membership inquiries should be directed to membership@biomade.org.  

To request an exception to any of the requirements, please complete and submit this form to proposals@biomade.org at least five business days prior to the proposal submission deadline. Approval or denial of any such requests is at BioMADE’s discretion.  

  • The lead submitting organization must be a member, with a signed membership agreement, at the time of white paper submission. 

  • The lead and all partner organizations must be members, with signed membership agreements and membership dues paid in full, at the time of full proposal submission.  

  • The lead organization is responsible for ensuring the membership compliance of their project partners. 

  • If the organization signs their initial membership agreement less than 15 days prior to proposal submission, the organization has 15 days to pay dues for a proposal to be considered.  

  • If an organization’s membership lapses following proposal submission or during subaward negotiation, dues must be paid within 15 days of notice or prior to subaward execution (if applicable) – whichever comes first. 

  • All project participants must agree to remain members in good standing through the life of the project. 

  • White papers must meet the minimum requirements of this project call to be considered eligible for full proposal consideration.  

  • Submitted proposals must be responsive to focus area(s) of the Project Call and align to the BioMADE Technical Roadmap, Education & Workforce Development Blueprint, and/or 4S Definitions (Appendix B) 

  • All submitted materials must be completed in full on the provided forms and/or templates; including, but not limited to, the Budget Template, Subrecipient Profile Questionnaire, Current and Pending Support, Statement of Work (SOW), Project Timeline, and Technical Narrative. 

  • All applications must be submitted through the Proposal submission Platform via the BioMADE Member Portal.
